How are licenses sold and distributed?

Lab-Aids sells licenses for students, teachers, and administrators to access Lab-Aids programs online via the Lab-Aids Portal. Everyone that needs to access a program online needs a license to access that content online. Below are answers to frequency asked questions regarding how licenses are purchased, distributed, and used.

How are licenses packaged?

Separate licenses are needed for teachers and students--teachers need access to both student and teacher-only content, whereas students only need access to student materials. When school and districts purchase licenses, there are 4 items that need to be defined:

  • Student or Teacher licenses

  • Content: Licenses are sold for only the content needed for those users. If only select units that make up a full-year program are needed, typically only those selected units can be purchased. In some cases, purchasing the full-year program can be more cost effective.

  • Quantity: One license is needed for each user.

  • Duration: Licenses are sold for a certain duration. Typically, teacher licenses are sold with a 7-year duration, whereas student licenses are sold for either a 1- or 7-year duration.

How much do licenses cost?

Each program has different pricing structures, but typically for student licenses, the cost is $1 per student per year per unit, with a maximum of $5 per student per year for a full-year program. Please contact your curriculum specialist for specific pricing.

When do licenses expire?

Licenses are typically sold for the duration needed. For a 1-year student license, the license will expire at the end of the school year (July 1) so that students can utilize the license for the duration of the school year. For example, if a student license is purchased in April 2020, the license will expire on July 1, 2021. This allows a student to use the license for entire 2020-21 school year. We do not implement a strict 365-day duration from the time of purchase.

If there are unique situations based for license durations, we always work with each customer to reach an agreeable and fair solution.

How are unused licenses handled?

Unused licenses are treated the same as used/consumed licenses. For example, if 100 1-year student licenses are purchased and only 90 are used by students, the remaining 10 unused licenses will not roll over for a future year. These unused licenses expire along with the used licenses.
